PSSW 40th NATIONAL JURIED EXHIBITION PROSPECTUS 2021
The Pastel Society of the Southwest’s 2021 National Juried Exhibition during the months of September and October will be the nonprofit organization’s 40th Juried Show of soft pastels.
The exhibition will be held at the Grapevine Convention & Visitors Bureau located in Grapevine, Texas. Historic downtown Grapevine has over 200 restaurants, 80 locally owned restaurants, numerous art galleries, fabulous shopping and winery tasting rooms. This year’s exhibit coincides with Grapefest, a four-day event that typically draws in over 250,000 visitors.
We invite you to participate in our juried exhibition and be a part of our quest for the highest artistic excellence in the soft pastel medium. We also encourage you to join The Pastel Society of the Southwest. Our membership ranges from beginners to nationally recognized professionals, and we seek to increase our knowledge and enjoyment of the pastel medium. Members may earn PSSW signature status upon acceptance into five national PSSW exhibitions.
This year’s show will be juried and judged by nationally recognized artist Karen Margulis, who will also conduct a demo a multiple day pastel workshop.
ELIGIBILITY REQUIREMENTS:
- Open to all artists working in the soft pastel medium with 80% of the artwork consisting of soft pastel. No oil pastels.
- Must not have been accepted in a previous PSSW juried exhibition.
- Artwork must have been completed within the last 3 years.
- Entries must be original, unpublished, and not copied from another artist’s work, photographs, or publications. (Articles highlighting your work would make that artwork ineligible).
- Work produced in classroom or workshop under supervision or collaboration of artist instruction is not eligible.
- Work may not be based on or directly derived from reference materials created or arranged by others, even if with permission, royalty-free or not copyrighted.
- Use of optical projection or mechanical reproduction/collage is not eligible.
- All accepted work must remain at the Grapevine Convention & Visitors Bureau for the duration of the exhibition.
- Failure to send your work after it has been accepted or taking artwork down during the exhibition will result in disqualification from future PSSW shows.
- No Nudes. PSSW reserves the right to reject any work not meeting eligibility requirements or deemed inappropriate to the Grapevine Convention & Visitors Bureau.
HOW TO ENTER:
- Electronic applications will be accepted beginning March 2021 and ending Wednesday, August 4, 2021.
- Entry fee of $35 for PSSW members entering 1-3 images and $10 for each additional entry with a maximum of 5 entries. PSSW Membership fees are $35 and are due by August 31 of each year.
- Entry fee of $45 for non-members entering 1-3 images and $10 for each additional entry, with a maximum of 5 entries.

- Images should be no less than 800 pixels and no more than 1920 pixels on the longest dimension @72 dpi. The file format JPEG is best. Files must be smaller than 4 mb.
- Images must not show mat or frame and must be an accurate representation of the artwork.
- Best of Show will receive $1,000 cash award plus other prizes if available.
- Artist awarded Best of Show will not be eligible to win BOS at the next PSSW exhibition.
- A maximum of two entries per applicant will be accepted into the show. Awards will be limited to 1 per artist.
- No refunds will be made on unaccepted entries.
- As a condition of entry to the PSSW National Juried Exhibition, the submitting artist agrees to the terms and conditions stated in this prospectus, including granting permission to reproduce artists’ work for publicity purposes.
PRESENTATION OF ARTWORK:
- This show will hang in a gallery.
- Framed work must not exceed 48 inches in height or width.
- Paintings must be secured in the frame and wired for hanging with D-rings. No sawtooth hangers or clip frames.
- Artwork must be framed under glass or acrylic.
- Use simple, tasteful museum quality frames, no metal or overly ornate frames.
- If mats are used, choose white or off-white, without mat decoration.
- Place a label on the back of painting with artist’s name, title of painting and contact information.
- No painting may be removed before the end of the exhibition.
- Buyers must deliver and pick up the paintings at designated times or arrange and pay for a shipping agent.
SALES PRICE:
- Sale prices marked on entries may not be changed; remember to consider cost of shipping and shipping agent fee (if applicable) and commission when setting price.
- Sales of exhibited artwork is subject to a 30% commission payable to the Grapevine Convention & Visitor’s Bureau.
- Artwork marked Not for Sale (NSF) will be accepted.
OUT OF TOWN DELIVERIES, USE SHIPPING AGENT:
- The gallery does not accept direct shipments of artwork.
- Artists unable to deliver artwork in person, will need to arrange delivery through our designated shipping agent and pay shipping fees.
- Please remember to allow ample time for shipping.
- The shipping agent coordinates the artwork to and from the artist to the gallery for a $65 per artist fee. Our designated shipping agent is:

- Shipped entries must be prepaid with UPS or FedEx in reusable crates or containers. Reusable artwork containers include Airfloat StrongBoxTM and ULINE Deluxe Artwork Shipper.
- Both FedEx and UPS Ground recommend a minimum of 3-inch padding around paintings to ensure safe delivery.
- Include a prepaid return shipping (FedEx or UPS) label in the shipped package.
- Include your name and address on the inside and outside of your box in case the shipping label is lost.
- Artists will be responsible for replacing broken glass and/or frame damage prior to exhibiting in the gallery.
- A form for the shipping agent information will be provided to artists upon show acceptance notification.
- Shipped entries must be received by the shipping agent between September 3 and September 10, 2021.
- Shipped entries will be packaged and returned no later than November 30, 2021.

- Hand delivered entries will be accepted Monday, September 13, 2021 from 10 a.m. to 1 p.m. at the Grapevine Convention & Visitors Bureau.
- All artwork must be picked up Monday, November 1, 2021 between 10 a.m. and 1 p.m. at the Grapevine Convention & Visitors Bureau.
LIMITATION OF LIABILITY:
Artwork will be handled with all possible care in the handling, transportation, installation of accepted paintings; however, neither The Pastel Society of the Southwest, the Grapevine Convention & Visitors Bureau, Navis Pack & Ship, Hang Right Decor or any member of PSSW will be responsible for any loss or damage.
Glass is used at the artist's risk. Clear tape affixed to glass to prevent breakage during shipment can also cause damage if applied incorrectly. Artists will be responsible for replacing broken glass and frame damage prior to exhibiting in the gallery. PSSW recommends that artists carry their own insurance for their works.
